Team Access

Team (the tool you may know as People) is where your church manages its staff: pay changes, benefits, leaves, contractors, time off and reports. It replaces the pay and employment forms you used to find through our help articles. This article explains what a person with Team access can see and do at each level.

What's different from the old forms

  • You start from the person. Before, you had to find the right form, know everything about the change, and type it all in, and several changes meant several forms. Now you open your staff list, choose the person and start a change. Team already knows their current pay, housing and benefits, so you don't retype them.
  • You see the effect before you send. The form shows what the change does to each paycheck, before and after, and only offers pay dates that give us enough time.
  • You hear back and can follow along. You get a confirmation email, and every change request shows its status: Scheduled, Pending, Processing, Complete or Needs attention.
  • Nothing disappears. Change requests can't be deleted. If you need to undo one, you send a new request that reverses it.

Two levels of access

Full access

Full access is for the few people who manage staff and pay. It shows:

  • Employees: your active staff, with job title, department, email, phone, hire date, birth date, pay type, salary or hourly rate, housing allowance, benefits and what you and the employee each pay, allowances, and 403(b) contributions. Team does not show Social Security numbers or bank details.
  • Change Requests: every request, its status, and a way to start a new one.
  • Contractors: each contractor's status, email, whether a W-9 is on file, their amount and schedule.
  • Time Off: pending requests for everyone at your church, and the team calendar.
  • Housing: who has sent their yearly housing allowance declaration and who we're still waiting on.
  • Wellness: reimbursement history and balances, if your church offers it.
  • Reports: twelve ready-made reports, which you can export to CSV or PDF.

And it lets you:

  • Submit a change request for an employee: a pay rate or salary change, a profile update (title, department, phone, email, birth date), a housing allowance, additional pay or a bonus, a benefits or allowance change, a leave of absence and return, or a separation. Anything that affects pay needs to reach us at least 6 calendar days before the pay date.
  • Download an employee's profile and any report.
  • Ask a contractor for a W-9 and their payment details. They fill it out online and you're emailed when it's done. To change or end a contractor's payments, send a change request. To pay a contractor, use Books.
  • Approve or deny time off requests, and approve or reject wellness requests.
  • Send a reminder to anyone who hasn't sent their housing declaration.

Full access does not let you edit pay or benefits directly. Every pay change goes through a change request, and our team enters it in payroll, so nothing changes until we've processed it. You also can't delete change requests, edit contractors or see payroll.

Time off only

Time off only is for staff who just need to request time off. Their menu is Time Off:

  • See their own balance for each leave type, and the days used.
  • Request time off by choosing the type, dates and whether it's a half day, and add a note.
  • See their requests and cancel one.

If they supervise others, they can also approve or deny their team's requests. Supervisors get an email with a one-click link to approve.

Time off is available if your church uses it. Our team sets up your policy with you.

Who should have access

Most churches keep full access to a few people, since it shows pay and housing for everyone on staff. Give time off only to anyone who just needs to request time. Contractors, volunteers and vendors don't need Team access. They use the form links.

Your church's primary contact decides who gets access. To add or remove someone, write to help@myxp.church.
