Negative Numbers on Top Level Income Lines

If you have requested that myXP tracks non-general giving funds in Quickbooks by splitting them out from general giving, you will see a negative number in your main giving line. This negative number is a transfer of the special fund monies FROM the general fund TO the corresponding fund line in Quickbooks, as listed in PCO.  We follow this process as a clear demonstration that these funds have been handled as per your instructions and that the transfer has indeed taken place.

For example, if you are collecting for a special missionary relief fund and in a particular month $2,000 was given to that fund (and that is your only special fund currently in use), you will see a negative $2,000 line item on the top level income line.  This will reduce your total general giving dollars by the $2,000 given to the special fund but then that same $2,000 will be transferred into that fund within quickbooks as you have directed.

To verify the amount, begin by logging in to your Planning Center Giving Module. The negative number reflected on your P&L for that month will be the equal to the total of the corresponding month's non general funds total in planning center.

The only time you will find that the non general funds total is different from the negative number on your P&L Statement is if someone makes an adjustment in PCO  after the month is closed and does not notify myXP of this change.  We take extra precaution and attach a screenshot of the total fund balances anytime we make an entry to your giving line in Quickbooks.
In order to ensure a discrepancy never happens, please be sure to communicate with the myXP team if a change has been made to any PCO batch after monthly reporting has already been provided.
